How to calculate hours worked
To calculate the hours worked in a shift, take the start time and the end time and work out the time that has passed between them. Then deduct any breaks you don't want to count as worked time.
For example, if you start work at 8:00 AM, finish at 5:00 PM and deduct a one-hour break, the result is 8 hours worked. WorkIO's calculator does this automatically and can add up several shifts to give you the total for a period.
If a shift ends after midnight, you can still calculate it by entering the start and end time as usual.
Workday calculation example
Say you start your shift at 8:00 AM and finish at 5:45 PM. Between those two times, 9 hours and 45 minutes have passed.
If you take a 45-minute break during that time that you want to deduct, the final result is 9 hours worked.
- Start
- 8:00 AM
- End
- 5:45 PM
- Time elapsed
- 9 h 45 min
- Break
- 45 min
- Total worked
- 9 h 00 min
You can enter this data directly into the calculator to get the result without doing the maths yourself.
How to deduct breaks
To get the effective time you want to count as worked, you can subtract breaks from the total length of the shift. First work out the time elapsed between the start and end, then subtract however many minutes or hours of break apply.
For example, a shift from 8:00 AM to 4:30 PM lasts 8 hours and 30 minutes. If you enter a 30-minute break, the calculator will show a total of 8 hours worked.
The tool lets you enter the break in hours and minutes so you don't have to convert it yourself. Whether a break counts as working time or should be deducted depends on the terms that apply to your case; the calculator simply works with the data you enter.
How to calculate monthly work hours
To calculate your hours worked over a month, add one shift for each day you want to count and enter its start time, end time and break. The calculator will automatically add up the time from every valid shift.
Not every day needs the same schedule. You can enter different shifts, duplicate the ones that repeat and only change the details that differ.
The result gives you the total for the period. If you also enter the hours you expected to work, you can compare the two amounts and see the difference.
How to add hours and minutes
To add hours and minutes correctly, hours and minutes need to be handled separately. Once the minutes add up to 60, those 60 minutes become an extra hour.
45 + 30 minutes add up to 75 minutes, which equal 1 hour and 15 minutes. That extra hour is added to the sum of the hours.
The calculator performs this conversion automatically when adding up every shift you enter, so you don't have to do the maths yourself.
7 h 45 min + 8 h 30 min = 16 h 15 min
Hours and minutes versus decimal hours
Hours expressed in decimal format don't work like the minutes on a clock. An hour has 60 minutes, so minutes need to be divided by 60 to convert them into a decimal fraction of an hour.
For example, 8 hours and 30 minutes equal 8.50 hours, because 30 minutes is half an hour.
15 min = 0.25 h
30 min = 0.50 h
45 min = 0.75 h
The calculator shows the result in hours and minutes as well as decimal format, so you can use whichever one you need.

Get started with WorkIOFrequently asked questions
Can I calculate a shift that ends the next day? +
Yes. The calculator can work out shifts that start on one day and end after midnight. If the end time is earlier than the start time, the tool assumes the end belongs to the following day.
For example, if you start work at 10:00 PM and finish at 6:00 AM, the shift length is 8 hours. You can also enter any breaks you want to deduct to get the time worked.
Can I calculate the hours worked over several days? +
Yes. You can add as many shifts as you need and the calculator will automatically add up the time worked across all of them. This means you can use it not only for a single day, but also to find out the hours accumulated over several days, a week, a fortnight or a month.
Each shift can have its own start time, end time and break, so not every day needs the same schedule.
How can I tell if I've worked more or less than planned? +
You can turn on the comparison with expected hours and enter how long you expected to work during the period you're calculating. The tool will compare that amount with the total hours actually entered and show you the difference.
This makes it easy to check whether you've worked more hours than planned, fewer hours, or exactly the amount indicated, without calculating the difference yourself.
Can I calculate my hours worked without creating an account? +
Yes. You can use this work hours calculator directly from your browser without creating an account. Enter your shifts, schedules and breaks and you'll get the result automatically.
The calculator is designed for one-off calculations. If you want to keep an ongoing record of your shifts, check your hours worked later on and keep your history organized, you can do that with WorkIO .
Are the shifts I enter into the calculator saved? +
The calculator keeps the data it needs locally in your browser, so you can carry on using the tool without starting from scratch every time you come back to the page. This data isn't a record of shifts linked to a WorkIO account.
If you need to save and manage your work history on an ongoing basis, record your shifts and check your accumulated hours afterwards, you can use WorkIO to keep that track from its apps.
